The New Jersey Center for Tourette Syndrome is seeking a dynamic and caring office assistant to join our amazing team!  NJ for Tourette Syndrome is a non-profit organization whose mission is to ensure children and adults with Tourette Syndrome (TS) and the associated disorders are empowered and accepted.


NJ Center for Tourette Syndrome provides a fantastic work environment and offers flexibility.  At the Center, we are rewarded daily by the work we do in providing quality programming and services for those living with Tourette Syndrome and the associated disorders.  We are looking for an individual who will keep the Center’s business operations running smoothly, who is detailed oriented, adept at multitasking, brings passion to their work, and wants to become part of a dynamic team working to improve the lives of those in the TS community.


Position Summary:  Reporting to the Executive Director, this individual will keep the business operations running smoothly.  Beyond greeting office visitors and answering phone calls and general emails, you’ll have the opportunity to help shape the way we run our office. 


Key Responsibilities:   

 

  • Office Administration
  • Maintain, track, organize, replace and order office supplies as necessary to avoid interruptions
  • Maintain shared drive and purge electronic program files and paper files annually
  • Maintain inventory of NJCTS assets including literature, furniture, computers and equipment
  • Responsible for researching and recommending office equipment purchases and/or leases and scheduling maintenance and repairs and provides office equipment support by acting as liaison between staff and vendor
  • Point person for vendors and landlord communications
  • Provide initial support for software, hardware, network, telephone and equipment issues
  • Monitor daily organizational email and forward to appropriate staff as needed
  • Coordinate activities throughout the organization to ensure efficiency and maintain compliance with Center’s policies
  • Manage agendas, office calendar and appointments for the staff and especially upper management.
  • Manage emails, letters, packages, phone calls and other forms of correspondence by directing them to relevant staff.
  • Perform other administrative and secretarial duties as necessary


  • Volunteers
  • Identify, recruit and assign volunteers to work on various projects
  • Identify and create a list of ongoing projects that volunteers can choose from
  • Create volunteer recognition program
  • All other reasonable duties as assigned

 


Skills and Qualifications:

  • Minimum 5 years’ experience as an office assistant, office administrator or in another relevant position, preferably in the non-profit industry
  • Excellent leadership, time management and organizational skills
  • Outstanding abilities to communicate in person, in writing and over the phone
  • Familiarity with common procedures and basic principles used in the office
  • Strong proficiency in Microsoft Office programs and other management tools and applications
  • Keen ability to multitask and be flexible
  • Proven experience in responding to multiple priorities effectively
  • Working knowledge of Donor Perfect, Canva, Wufoo, Go-To and other software platforms a plus

Compensation and Benefits:

This is a part-time position working 4 days per week in the office in Somerville, NJ.  Hours are 9 to 1pm.  Salary range is $18 to $22 per hour commensurate with experience.  This position is not eligible for benefits.  Sick time is in accordance to the NJ Sick Leave policy law.
